1. What are customer communication mails ?
Whatever your industry, the size or location of your organisation, you inevitably have written exchanges with your customers. These communications can be sent by you (push) or addressed in response to a client (pull), regardless of the mode of communication (e-mail, post, etc.). They can be in response to a regulatory requirement such as notifying certain changes, questioning a customer, or supporting the promotion of your organisation.
2. Why establish customer communication mail ?
If written exchanges with your clients are part of your daily life, a large part of these letters require the respect of a particular formalism or other legal expertise. Sometimes it is even a question of simply answering the question: “Do you have the right to write to this client?”. Even if in most situations communication with your clients is cordial, you may have to deal with more complicated situations or simple but recurring situations. It is therefore important to display the utmost professionalism in your oral and written communications in order to maintain good relations with your clients and to ensure that customer service is in possession of all that it needs to provide them with the most appropriate response as fast as possible. In this context, the choice of words and legal formulas used are absolutely crucial. Hence the need for a reflection beforehand on the formulation of standardised and alterable letters to be used in all situations and to backup your mails with documented processes.
